Want to Make a Deputation at a Committee and/or full Council meeting?
In accordance with the City's Standing Orders (Division 5, 4.33) any person or group wishing to be received as a deputation by a committee shall submit an application to the Chief Executive Officer, setting out the subject matter to be raised by the deputation in concise terms, but in sufficient detail to enable the council to have a general understanding of the purpose of the deputation.

Once your application is received by the City, the Chief Executive Officer will consider whether or not the deputation should be received.
Please note the following:
- Only one subject per application form submitted
- If you would like to make more than one deputation at a meeting, approval is needed from the meeting before you present the first deputation.
- Deputations are time limited and are not to exceed 5 minutes in length. However, an extension of time may be granted by agreement of the Committee/Council.
- If printed material is to be distributed in support of the deputation, you will be required to bring 25 copies along with you to the meeting.
- "PowerPoint presentations" are not allowed without the prior consent of the Mayor or Chief Executive Officer
- At each meeting, only 5 deputations are allowed to be made.
- When making your deputation, only 2 people may address the Committee/Council, except in reply to questions asked by Elected Members.
- A request to make a deputation on the same subject previously dealt with within a period of 2 months, may or may not be accepted, at the absolute discretion of the presiding member,.
- The close off time for submissions on deputations to any Council or committee meeting will be noon on the Monday prior to the meeting. If the Monday before the meeting is a public holiday, the close off time for submissions is 12 noon on the day of the meeting.
The City’s Standing Orders also stipulate that:
- in submitting a deputation, no bad or offensive language shall be tolerated, and no facts stated, except so far as may be necessary to explain the context of the deputation;
- deputations shall not contain any statement reflecting adversely on the integrity of any member or employee; and
- if, in the opinion of a member, false information or any adverse reflection is contained in any deputation, then through the Mayor or, the member may offer comment by way of correction.
